Description


The Senior Project Coordinator and Controls provides project coordination and controls at multiple levels within the PMO (Portfolio, Program, and Project). The person in this position will be responsible for assisting with the design, maintenance, operation of standardized project processes within the Project Management Office (PMO). Functions for all business and product lines and will interface with the IT Development Staff.



Essential Duties of The Senior Project Coordinator and Controls:



Technical

Research, investigate, and evaluate the applicability of external, or internal, solutions for business problems.

Develop and communicate, or facilitate the development of solution specifications for business problems, according to standard methodologies such as SDLC, PMBOK, Prince 2, and Agile.

Evaluate internal and external solutions against current company and/or industry standards.

Communicate business and/or technical solution requirements to vendors and assess the applicability of the vendor solution to the defined technical or business requirements.

Evaluate and communicate the applicability of one vendor solution vs. another in terms of the defined business and technical requirements.

Facilitate, or perform, appropriate documentation to support the transition of a preliminary solution evaluation effort to a project team for implementation. This will include any process, financial, functional, vendor evaluations or other documentation as appropriate to support the project implementation process. All documentation will conform to existing project documentation standards.

Facilitate, or perform, appropriate documentation to support multiple project(s) and/or Program(s) project manager and related team.. This will include any process, financial, functional, vendor evaluations or other documentation as appropriate to support the project implementation process. All documentation will conform to existing production documentation transition standards.

Understand (or develop understanding of) technical foundations of business line initiatives.

Must be an expert in a variety of technical applications which serve the overall enterprise of GCI.

Research, investigate and evaluate current industry or GCI specific technology trends.
Document and communicate GCI or industry trends to the appropriate stakeholders.



Business Process and Research

Develop and manage weekly, monthly project/program status reporting within a SharePoint environment.

Develop and manage weekly, monthly project and program resource loaded schedules (Level 1, 2, and 3)

Research document, evaluate technical or business processes, and identify inefficient areas.

Reengineer business processes to optimally support business strategic objectives

Develop the following financial models:

Operational cost modeling

Capital cost modeling

Vendor cost modeling

ROI

Project/Program KPI(s)

Develop and communicate business or technical impact analysis

As required, provide a technical point of contact for the applicable business areas wishing to access IT project/program resources and services.

Influence and negotiate with staff and management, using creative problem solving to define needs and resolve issues.

Provides two-way communication and education between all IT areas and business areas to ensure requirements are understood and customers understand how IT can best support them.

Consult with business area to apply IT effectively, incorporate best practices, and assure quality of IT delivery (products and services).

Develop a strong working relationship between business customers and IT.

Provides leadership on project teams as appropriate.

Prepares, communicates and educates business unit clients and/or IT team on changes in policies and/or practices within the business units.

Contribute annual strategic plans, objectives and budgets for IT-related initiatives for assigned business units.

Defines business requirements, identifies trends and gaps with existing systems and monitors/promotes existing projects to ensure successful completion on time and within budget.

Conducts regular, periodic meetings with business unit, technical team, and IT management on active and upcoming projects; conducts monthly meetings with key business unit contacts and technical contacts.



Knowledge, Skills and Abilities:

Prior experience leading or serving on a large-scale IT projects/program management team in the capacity of project controls.

Certified Project Management Professional (PMP) or solid understanding of IT project management and scheduling concepts and standards, such as milestones, predecessors/successors, resource/labor management, and earned value management

Must be technically astute, highly organized and have a reputation for meeting deadlines and budget commitments.

Highly detail-oriented with a passion for quantitative and data analysis and desire to investigate root causes of data patterns and trends Must have a thorough working knowledge

Ability to use project knowledge, business knowledge, technical knowledge, sound judgment and resourcefulness to adapt existing policies and practices to specific situations and select among varied courses of action. Strong analytical and management skills are required.

Demonstrated ability to set priorities, meet deadlines and multi-task in a dynamic, rapidly changing environment.

Must be able to reconcile divergent demands on multiple parties.

The successful applicant must possess excellent conflict resolution and influencing skills, have the ability to solve key issues with senior executives and the ability to work issues across different business units.

Must possess superior documentation skills with a strong ability to write technical process and policy documents.

Ability to work collaboratively through in-person meetings and online interactions with senior management and team members, often across different business areas

Strong organizational skills with the ability to handle multiple assignments simultaneously

Quick learner, who can easily learn new business and technical tools and processes

Strong interest in the intersection of information technology and business strategy preferred

Familiarity with Primavera, Microsoft Project, Visio, and Access, JIRA, Confluence

Must be able to design and manage multiple SharePoint sites.

Extremely Strong oral and written communication skills, particularly in the ability to communicate with, and understand the needs of, non-technical internal clients and communicate their needs with technical clients are essential. Instinctively senses issues and opportunities.
Must possess the ability to develop an understanding of a wide range of business and technical issues.

Physical Requirements: Ability to perform sedentary work. Physical effort may include stooping, kneeling, touching, feeling, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, talking, hearing, and repetitive motions. Clarity of vision to see near, mid-range, and color. Ability to lift and carry up to (weight) lbs.



Working Conditions: Work is performed at GCI Headquarters during a 40-hour workweek. The company and its subsidiaries operate in a 24/7 environment providing critical services to Alaskans and may need to respond to public health and safety matters or other business emergencies. Due to business needs employees may be contacted outside of the normal business hours to respond to the immediate emergency. As such, you will be requested to provide emergency after hours contact numbers, to include your home and cell phone numbers if you have those services.

Qualifications


Minimum qualifications:

Minimum of six years in project management with emphasis on project controls. Three year’s experience in software or technical development environment required. Telecommunications or IT background is preferred.

High School diploma or equivalent is required. Bachelor’s Degree in IT, MIS, Computer Programming, or related field required.Or a combination of relevant education and/or work experience sufficient to perform the duties. Bachelor’s degree equal to four years of relevant professional experience.

Certifications: Industry specific certifications are highly valued and can contribute toward education. Applications, Programming, and Software certifications desirable. Project Management Institute Certification as a Project Management Professional (PMP) and/or Professional Business Analysis (PBA) is desirable.

Driving Requirements (if applicable): Must possess and maintain a valid driver’s license, proof of insurance and a satisfactory driving record. Must be able to drive as occasional use of personal vehicle for transportation between various GCI facilities within the Anchorage area may be required.
